Owl VIP Email Alerts Privacy Policy

Overview
This Privacy Policy describes how Sundae Electronics LLC ("we", "us", or "our") collects, uses, and shares information when you use Owl VIP Email Alerts (the "App"). The App helps you create alert rules so you can receive notifications when email arrives from senders or domains you care about.
Google & Gmail data (what we access)
When you sign in, the App uses Google Sign-In and the Gmail API. The exact Gmail data accessed depends on the features you enable:
- Default mode (Sender + Subject): the App requests Gmail metadata access. This allows the service to read limited message metadata needed to route alerts, such as "From" and "Subject" headers, message/thread identifiers, and labels in your inbox.
- Optional mode (Snippet previews): if you enable email snippet preview, the App requests Gmail read-only access. This allows the service to retrieve a short snippet (an excerpt) of the message so it can be shown in your notification.
- The App does not request permission to send email. It does not modify, delete, or move your messages. It does not download or access attachments for alerts.
Information we store
We may store the following:
- Account identifier: your Google email address is stored locally on your device (secure storage) so you can stay signed in. The email is also used as the identifier for your settings stored in our backend.
- Alert rules & settings: your VIP sender/domain list, schedules, notification preferences, and sound selections may be stored in Firebase Firestore so alerts can work even when the App is not open.
- Connected inbox info: if you connect Gmail for background alerts, our backend stores a Google OAuth refresh token and related authorization details (for example, which Gmail scope was granted), plus bookkeeping needed to maintain Gmail push notifications (for example, watch expiration / history state). This token is used to maintain authorized access for alerting until you disconnect the inbox, delete your Owl data, or revoke access in your Google Account.
- Push notification tokens: your device may generate a Firebase Cloud Messaging (FCM) token that we store so we can deliver notifications to your device.
- Subscription/entitlement info: if you subscribe, purchases are processed by Apple App Store / Google Play. We use RevenueCat to validate entitlements and may store your subscription status and plan limits (such as how many inboxes you can connect).
- Attribution data (optional): on Android we may capture Google Play Install Referrer parameters (campaign attribution). On iOS, the App may optionally collect an Apple AdServices token (if enabled) for attribution. This attribution is used to understand which marketing campaign led to an install and is provided to RevenueCat as subscriber attributes.
How we use information
We use information to:
- Authenticate you and show your signed-in status
- Apply your alert rules and deliver notifications (including the sound you selected)
- Connect and maintain Gmail push notifications so we can detect new inbox events and trigger alerts
- Operate paid features (if any), including verifying subscription status and enforcing plan limits
- Maintain security, prevent abuse, debug issues, and improve reliability

Sharing & third-party services

We share information only as needed to operate the App and provide the services you request. We do not sell personal information.
Service providers may include:
- Google APIs: Google Sign-In and Gmail API are used for authentication and read-only email access (metadata and/or snippet previews, depending on your settings).
- Firebase/Google Cloud: Firestore, Cloud Functions, and Cloud Messaging may process and store your alert settings and deliver notifications.
- RevenueCat: used to validate subscriptions and manage entitlements (if you purchase a subscription).
- Apple/Google: in-app purchases are processed by the platform store you use.
Our backend uses Google Cloud/Firebase infrastructure to store settings and deliver notifications.

Google API user data policy (Limited Use)

Our use of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.
- We use Gmail data only to provide the user-facing email alert features you enable (for example, VIP sender matching and optional snippet previews).
- We do not use Gmail data for advertising or marketing profiling.
- We do not sell Gmail data.
- We do not use Gmail data to train or improve generalized AI/ML models.
- We do not allow humans to read your Gmail messages. If you contact support, you may choose to share information with us (for example, an email screenshot) to help troubleshoot.
Data retention
We retain your settings and connected-inbox authorization only for as long as needed to operate the App. You can delete your Owl data at any time using the in-app deletion flow.
- Settings and tokens: retained until you delete your Owl data, sign out, or disconnect an inbox.
- Notification deduplication: to prevent duplicate alerts, the backend may store message identifiers for a limited time (typically up to 14 days).
Your choices & controls
- In-App: use "Data & Account" → "Delete Owl data" to stop monitoring and delete your stored Owl settings.
- In-App: sign out to remove your stored sign-in state from this device.
- Device settings: you can disable notifications at any time in your device settings.
- Google Account: you can revoke the App's access in your Google Account security settings (Connected apps / Third-party access).
Security
We use industry-standard safeguards designed to protect information, such as encryption in transit and access controls. No method of transmission or storage is 100% secure, so we cannot guarantee absolute security.
Children's privacy
The App is not directed to children under 13 and we do not knowingly collect personal information from children under 13.
Changes to this policy
We may update this Privacy Policy from time to time. If we make material changes, we may provide notice in the App and/or on our website.
